PDF Compression Tools & Guides
Choose the file-size target or real-world use case that matches your task, then use the same Tooloos PDF compression engine with guidance specific to that intent.
Choose your PDF compression goal
Each page has unique guidance for the target or upload situation. Exact final size is not guaranteed.
Reduce a PDF file size online when a document is too large to upload, email or store comfortably.
Open page โ 50KB target guide Compress PDF to 50KBA 50KB limit is very strict for many PDFs, especially scanned or image-heavy documents. Use stronger compression only when the result remains readable.
Open page โ 100KB target guide Compress PDF to 100KBUse this workflow when an application portal or document upload asks for a PDF around or below 100KB.
Open page โ 150KB target guide Compress PDF to 150KBA 150KB target can be practical for short text PDFs and carefully optimized scanned documents.
Open page โ 200KB target guide Compress PDF to 200KBA 200KB limit gives more room than very small targets while still requiring careful optimization for scanned or image-heavy files.
Open page โ 300KB target guide Compress PDF to 300KBA 300KB limit is common enough to require compression but usually allows a better balance between size and readability than very small targets.
Open page โ 500KB target guide Compress PDF to 500KBA 500KB target is often achievable for short documents without using the strongest compression setting.
Open page โ 1MB target guide Compress PDF to 1MBA 1MB target is useful when a portal accepts larger documents but your original PDF still exceeds its upload limit.
Open page โ Scanned PDF workflow Compress Scanned PDFScanned PDFs are often large because each page may contain a full-page image. Compression can help, but readability should be checked carefully.
Open page โ Email attachment workflow Compress PDF for EmailLarge PDF attachments can be inconvenient to send or receive. Reduce the file size first, then verify the document before attaching it.
Open page โ Application upload workflow Compress PDF for Online ApplicationApplication portals often reject files above their stated limit. Check the portal requirement first, then compress the PDF and verify the result.
Open page โ Government upload workflow Compress PDF for Government FormGovernment and public-service portals may enforce strict document limits. Match the stated requirement without making certificates or forms unreadable.
Open page โHow to choose a PDF compression target
Start with the actual requirement of the website, form or recipient. If the portal says โmaximum 200KB,โ there is usually no benefit in forcing the PDF down to 50KB. Using the available size budget can preserve sharper scans, clearer signatures and more readable text.
Very small limits such as 50KB or 100KB are harder to reach for multi-page scans. A 300KB, 500KB or 1MB limit normally allows a better balance between file size and document quality. Always verify the downloaded file before submitting it.
What usually makes a PDF large?
The best compression method depends on whether the document is mostly text, scanned pages or high-resolution images.
Each scanned page can behave like a large image. Reducing image detail may save significant space, but small text and stamps must remain readable.
High-resolution photos are often the largest elements in a PDF. Image-heavy documents usually have more room for compression than text-only files.
Files exported directly from Word or other office software can already be efficient, so the achievable size reduction may be smaller.
More pages generally mean more content to store. A long document may need a higher size target than a one-page form.
Questions about PDF compression and file-size limits
Can a PDF be compressed to an exact KB size?
Not every PDF can reach an exact byte value while remaining usable. File structure, images, scans, fonts and page count all affect the result. Treat the stated upload limit as the target to verify after compression.
Should I choose the smallest possible PDF size?
No. Use the least aggressive compression that meets the real requirement. Compressing further than necessary can reduce image and scan quality without providing a practical benefit.
Why is a scanned PDF harder to compress?
Scanned pages are often stored as full-page images. Reducing their file size usually means reducing image resolution or quality, so readability must be checked carefully.
Are my PDF files sent to OpenAI?
No. The current Tooloos PDF compression workflow is browser-local and does not use OpenAI to process the selected PDF file.
Which target should I use for an online application?
Use the exact maximum shown by the destination portal. If it asks for 200KB, start with the 200KB workflow rather than compressing to a much smaller size unnecessarily.
